Expanding our UK operations, we are looking for a Project Coordinator.
Responsibilities:
- Manage and maintain project documents (e.g., permits, contracts, drawings) in the document management system, ensuring accuracy, version control, and compliance with deadlines and client requirements;
- Coordinate with the PMO to standardise document processes and conduct regular audits for data integrity and regulatory compliance;
- Support Project Managers with scheduling, meeting coordination, reporting, and milestone tracking;
- Facilitate effective communication between project teams, subcontractors, vendors, and clients;
- Monitor project progress and assist in resolving bottlenecks or delays;
- Prepare and distribute project documentation, including meeting agendas, minutes, updates, presentations, and budgets;
- Manage project calendars, track deadlines, and ensure timely task completion;
- Contribute to the development and implementation of project management tools, templates, and best practices;
- Conduct regular audits of document systems for compliance and data integrity;
- Ensure documentation meets company policies, standards, and regulations;
- Provide logistical support for project activities and assist with client meetings;
- Support onboarding by granting access to documentation and systems for new team members;
- Perform additional tasks as needed to ensure project team success;
- Occasional travel to project sites may be required.
Requirements:
- 1–3 years of experience in project coordination, document management, or similar roles, ideally in construction, engineering, or renewable energy;
- Familiarity with document management systems such as SharePoint, Procore, or equivalent;
- Strong organisational and time-management skills with excellent attention to detail;
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and project management tools (e.g., MS Project);
- Excellent written and verbal communication abilities;
- Capable of working both independently and within a collaborative team environment;
- Knowledge of solar EPC, construction documentation, or renewable energy projects is a plus;
- Proactive problem-solver with the ability to prioritise in a fast-paced setting;
- Flexible and adaptable to changing project demands and deadlines;
- Strong interpersonal skills for engaging with diverse teams and stakeholders.
